What is the “diamond in the rough” in technology for your practice that you have found and felt has given you a huge advantage?

Irene:

I’m going to take it from the perspective of google reviews and patient reviews because I think the patient experience is the most important thing and we often worry about time management. We want to get in and out, and bill in sufficient time so that our ROI is high. We’re utilizing our chair-time properly, but often we forget that at the end of the day, there is a human being in our chair hanging upside down and at our mercy. One thing that has been really helpful has been our digital and automated forms. On the tech side, I subscribe to YAPI, which is owned by Dr. Gina Dorfman who also hosts a podcast “Behind The Smiles.”

She created this system for her own benefit in her practice because she was sick and tired of patients coming in twenty minutes earlier than their appointments to fill out their forms. I subscribe to YAPI and it does everything automated. I have one receptionist and I know her time is valuable. The last thing I want her to do is to be confirming appointments for two hours a day.

YAPI works for you when you aren’t even in your office. It sends out text messages and email confirmations to patients, as well as new patient intake forms, HIPAA forms, basically anything a patient would need to sign. It’s all done through YAPI.

It’s expensive monthly looking at it dollar to dollar, but it is way cheaper than having to pay your receptionist “X” amount of dollars per day and per week, to get that done.

As dentists, we try our best to limit our recurring fees. The last thing we want to deal with is tech, but I want to flip that mentality to be, “let’s automate as much as we can.” I train my team and my patients that this is how we do it, and they love it! They’ll get a text message the day of their appointment and in it, it tells them to NOT arrive early so that we can just get to their treatment. You’ll be in and out. It has been one of the best things that people have commented on in our google reviews, which we also automate through YAPI. I actually received a google review while I’ve been sitting here with you.
